What a complete invoice needs
A US invoice that gets paid without follow-up questions has six parts: who it is from, who it is for, a unique number, the date and due date, one line per item with the math shown, and clear instructions for how to pay. The generator above has a field for each.
| Field | Example | Why it matters |
|---|---|---|
| Your business | Mike’s Plumbing, (512) 555-0142 | Tells the customer who to pay and how to reach you |
| Customer | Mike Johnson, 14 Oak St | Matches the invoice to the job |
| Invoice number | INV-0044 | Lets both of you refer to one bill without confusion |
| Date and due date | 11/01/2026, Net 15 → 11/16/2026 | Sets when the payment is late |
| Line items | Labor 3 hr × $95.00 | Shows what the total is made of |
| How to pay | Zelle: pay@mikesplumbing.com | Removes the last excuse to wait |
Keep the invoice number unique. Two invoices called INV-0044 will cause a mix-up the first time a customer pays one of them.
A worked example with tax on parts only
Some states tax parts but not labor on many repair jobs. The generator lets you tick only the lines that are taxed. Here is a service call with labor, a part and a trip charge, where tax applies to the part alone. Check your own state’s rules before you copy the setup.
Water heater repair, tax on parts only at 8.25%
- Labor: 3 hr × $95.00 = $285.00 (not taxed)
- Anode rod: 1 ea × $62.00 = $62.00 (taxed)
- Trip charge: 1 × $35.00 = $35.00 (not taxed)
- Subtotal: $382.00
- Sales tax: 8.25% × $62.00 = $5.115, rounded to $5.12
- Total: $387.12
To get this result, set Tax applies to “Only lines I tick”, enter 8.25 as the rate, and tick only the anode rod line. Rounding happens once on the tax amount, the same way the Invoice Hop app does it.
When to use this page and when to use the app
This page is enough when you send a few invoices a month from a computer. It does not save your customers, items or past invoices. If you invoice from a job site, want to know when the customer opened the invoice, or want card payments, the Invoice Hop app does that from your phone.
- This page: free, no account, nothing stored. You keep the PDF or CSV yourself.
- The Invoice Hop app: say one sentence to create the invoice, send it by email, text or WhatsApp, see when it is opened and viewed, and get reminders when it is late.
- Both: the money goes straight from your customer to you. Invoice Hop never holds payments.
Questions
Is this invoice generator really free?
Yes. There is no account, no watermark beyond a small line at the bottom, and no limit on how many invoices you make on this page.
Is my data uploaded anywhere?
No. Everything you type stays in your browser tab. Closing the tab clears it, so save a PDF or CSV before you leave.
How do I save the invoice as a PDF?
Choose Print or save PDF, then pick Save as PDF as the printer. On iPhone, use the share button in the print preview to save to Files.
Can I add sales tax to only some lines?
Yes. Set Tax applies to “Only lines I tick” and tick the taxed lines. The discount is shared across lines before tax is calculated.
Can I record a partial payment?
Yes. Enter the amount in Payments received and the invoice shows the balance due under the total.
Not tax or legal advice. This page is general information. Tax, payment and collection rules differ by state. Ask a qualified accountant or attorney about your situation.
