A worked example: mulch and bed cleanup
Here is a one-off job priced on the walk-through. You say it once into your phone, check the draft, and send the estimate before you get back in the truck. When the job is done, the same lines become the invoice, so the customer sees exactly what they approved.
You say: “Estimate for Alex Rivera, bed cleanup 4 hours at 55, mulch 3 yards at 68, 5 percent off”
- Bed cleanup: 4 hr × $55.00 = $220.00
- Mulch, installed: 3 yd × $68.00 = $204.00
- Subtotal: $424.00
- Discount 5%: −$21.20
- Total: $402.80
The prices are an example. Invoice Hop does the math itself, not the AI, and highlights everything the AI filled so you can check it.
Send the estimate before you leave. Customers compare quotes the same evening, and the one already in their inbox with photos of their own yard usually gets the first reply.
Mowing routes and monthly invoices
Route customers are easiest to bill once a month with one line per visit. Save “Mow, edge, blow” at each customer’s price, add a line per date, and send at month end. Commercial customers often need the dates to approve the bill, and a skipped rainy week explains itself.
| Line | Qty × price | Amount |
|---|---|---|
| Mow, edge, blow · 10/04 | 1 × $55.00 | $55.00 |
| Mow, edge, blow · 10/11 | 1 × $55.00 | $55.00 |
| Mow, edge, blow · 10/25 | 1 × $55.00 | $55.00 |
| Total (10/18 rained out) | $165.00 |
Next month, duplicate the invoice and change the dates. Your customers and prices stay saved on your phone.
For commercial properties with a monthly contract, keep one line for the contract amount and add extra work, like storm cleanup, as dated lines underneath. The property manager can approve the base amount and ask about extras separately.
If you offer seasonal packages, such as spring cleanup plus mowing, put the package on the first invoice and individual extras on later ones. The customer sees what is included and what is extra.
Photos, reminders and getting paid
A before-and-after photo on the invoice ends most “what did we pay for” questions. Invoice Hop lets you attach up to 10 photos per invoice. Once it is sent, you see when the email is opened and when the invoice page is viewed, and Pro sends polite reminders before and after the due date.
- Card, Apple Pay and Google Pay through your own Stripe account; the invoice is marked paid automatically.
- Checks, Zelle, Venmo and Cash App shown on the invoice; you mark them paid.
- Reminder schedule: 3 days before due, on the due date, then 7 and 14 days late. You can change or skip any of them.
Customers who pay by check can still see the invoice on their phone and download a PDF for their records. When the check arrives, record it and send a receipt by text in a few seconds.
You don’t need signal to make an invoice. Create it in the truck between properties, and it sends when you’re back in range.

Yes. One tap turns an estimate into an invoice with the same customer, lines and prices.

Yes. You can add up to 10 photos to each invoice.
Do my customers need the app?
